Privacy Policy

How we collect, use, and protect personal data.

1. Who we are

This Privacy Policy is issued by Moxie Company Limited (“Moxie”, “we”, “us”). We are a marketing agency operating in Hong Kong. Our office address is: Flat S, 9/F, Block 1, Kwun Tong Industrial Center, 472-484 Kwun Tong Road, Kwun Tong, Kowloon, Hong Kong S.A.R..

2. Scope

This Policy explains how we handle personal data collected through our websites (including coaihk.com/moxie, coaihk.com/moxie-hk, the-moxie.com and related pages), contact forms, WhatsApp / phone enquiries, event registrations, and the “Ask Moxie” on-site assistant. Where a client engagement contract says otherwise, that contract prevails for project data.

We handle personal data in accordance with the Personal Data (Privacy) Ordinance (Cap. 486) of Hong Kong (“PDPO”).

3. What we collect

Depending on how you interact with us, we may collect:

  • Identity & contact data: name, company, job title, email, phone / WhatsApp, address.
  • Enquiry content: project brief, budget / timeline if you share it, and message content.
  • Ask Moxie chat data: conversation history, contact details you volunteer, page URL, and technical identifiers used for security / abuse prevention (for example a hashed visitor fingerprint).
  • Technical data: IP address, browser type, device / OS summary, referrer URL, and data from cookies or similar technologies (see our Cookie Policy).
  • Recruitment data: CV, portfolio, and information you submit when applying for roles.

Please do not submit sensitive personal data (for example Hong Kong Identity Card numbers, bank account details, health data, or passwords) via public forms or Ask Moxie. We will not ask for such data unless strictly necessary under a separate secure process.

4. Purposes of use

We use personal data to:

  • respond to enquiries, qualify needs, and provide proposals or recommendations;
  • operate, maintain, and improve our websites and the Ask Moxie assistant;
  • manage client relationships, deliver projects, and provide follow-up;
  • protect security, prevent fraud / abuse, debug, and monitor quality;
  • carry out direct marketing where required consent has been obtained (see section 10);
  • comply with legal, regulatory, or dispute-resolution requirements; and
  • handle recruitment and related HR purposes where applicable.

Providing contact details is voluntary, but if key information is missing we may be unable to respond effectively.

5. Sharing and processors

We do not sell your personal data. We may disclose personal data, where needed, to:

  • Service providers who host our site, send email / messages, provide analytics, cloud AI (for Ask Moxie), security, or IT support — only as needed to perform their duties;
  • Professional advisers such as legal or accounting advisers;
  • Authorities when required by law or to protect rights, safety, and property; and
  • Business transferees in connection with a merger, acquisition, or asset transfer (with reasonable safeguards).

Ask Moxie may use third-party large language model / cloud AI services to generate replies. Conversation content may be transmitted to those providers for processing. See our Ask Moxie AI Notice.

6. Cross-border transfers

We primarily process data in Hong Kong. Some providers (including cloud AI, hosting, or analytics) may process data outside Hong Kong. We take practicable steps so that such transfers are consistent with the PDPO and the purposes in this Policy.

7. Retention

We keep personal data only as long as needed for the purposes in this Policy, then delete or anonymise it, unless a longer period is required or permitted by law (for example accounting, disputes, or security logs). Ask Moxie conversations are typically retained for a reasonable period for follow-up, quality, and security.

8. Security

We apply reasonable technical and organisational measures to protect personal data (for example access controls, encryption in transit where applicable, and vendor due diligence). No internet transmission is perfectly secure; please avoid sending highly sensitive data through public channels.

9. Your rights

Under the PDPO, you may request access to and/or correction of personal data we hold about you. Please write to market@the-moxie.com with enough detail for us to verify your identity and locate the records. We may charge a permitted fee and will respond within the statutory timeframe.

10. Direct marketing

If we intend to use your personal data for direct marketing (for example newsletters or event invitations), we will obtain any consent required under the PDPO and provide a way to opt out. You may unsubscribe at any time by emailing us.

11. Children

Our websites and services are directed to business customers and professionals, not children. We do not knowingly collect children’s personal data.

12. Changes

We may update this Policy from time to time. The updated version will be posted on this page with a revised effective date. For material changes, we may provide a website notice or other reasonable notice.
